How to Bulk Update Product Images in Artelo
Bulk Update Images lets you add, replace, or refresh artwork across existing Artelo product sets using a spreadsheet.
This tool updates the images attached to your Artelo product sets. It does not directly edit your Etsy or Shopify listing images, variants, titles, prices, descriptions, or other storefront details.
Use this tool when your product sets already exist in Artelo, and you want to update their assigned artwork in bulk.
Before You Start
Make sure you have:
Existing product sets in Artelo
The image files you want to assign
Either existing Artelo uploads, upload names, or public image URLs

Step 1: Generate the Workbook
Navigate to the Bulk Flows page and open the Bulk Update Images tool in Artelo.
Click Generate File.
Artelo will create an Excel workbook with the product sets and product configurations that can be updated.
Open the workbook and go to the Image Assignment tab.
Do not delete or rename workbook columns. Artelo uses the workbook structure to process the update correctly.
Step 2: Filter the Workbook
You may want to use filters in the workbook to narrow the sheet to the product sets you want to update.
Useful columns for filtering include:
Product Set
Template
Connected Status
Connected Variant Option Values
To create a filter, select your data range, go to the Data tab, and click Filter. This adds dropdown arrows to the headers, allowing you to select specific values.
Step 3: Assign Images in the Image Assignment Tab
Each row in the Image Assignment tab represents a design slot for a specific product configuration. For example, if a product set includes 8x10, 12x16, and 16x20 sizes, the workbook will include corresponding rows for those sizes.
These rows match the design slots you see when editing the product set inside Artelo, so you can assign the correct file to each product configuration in bulk.
Pay attention to the Image Size column when assigning files. This helps you make sure each design is being applied to the correct product size or configuration.
If a product configuration has more than one design slot, make sure you fill in each required design column before uploading the workbook.
Step 4: Add Images from Your Artelo Uploads
Use this option if your files are already uploaded to Artelo.
In this example, we will add images for two product sets: Hilma af Klint 3 and Hilma af Klint 4.
Each product set needs artwork assigned for the following sizes:
8x10
16x20
First, go to the Uploads tab in the workbook.
In the Uploads tab, find the files you want to assign.
For this example, we will look for:
Hilma-af-Klint-3-16x20.pdf
Hilma-af-Klint-4-16x20.pdf
Since 8x10 and 16x20 have the same aspect ratio, I can use the same file for both.
Copy the image ID from the left column for Hilma-af-Klint-3-16x20.pdf.
Then go back to the Image Assignment tab.
Paste that ID into the Design File URL or Upload Name column for both the 8x10 and 16x20 rows for Hilma af Klint 3.
Repeat the same process for Hilma af Klint 4. Copy the image ID for Hilma-af-Klint-4-16x20.pdf from the Uploads tab.
Then paste it into the Design File URL or Upload Name column for the matching rows in the Image Assignment tab.
The example above works easily because 8x10 and 16x20 have the same aspect ratio.
Step 5: Use Public Image URLs Instead
Use this option if your files are hosted outside Artelo, such as in Google Drive, Dropbox, or another file hosting service.
To use a public URL, paste the image link into the Design File URL or Upload Name column for the correct row.
The URL must be accessible to Artelo and must point to the image file you want to use.
Optional: Use the Google Drive Bulk Image Upload Tool
If your files are in Google Drive, you can use our Google Drive Bulk Image Upload Tool to fetch your Google Drive files in bulk.
Open the helper sheet above and click File and Make a Copy so you have your own editable version.
Make sure you are logged into the Google Drive account that has access to your image folder.
Copy the link to your Google Drive folder.
In the helper sheet, click Load Images from Folder and paste the folder link.
The helper sheet will load the image URLs for the files in that folder, so you do not need to open each file individually.
Once the image URLs are loaded, copy the correct URLs into the Design File URL or Upload Name column in your Bulk Update Images workbook.
Here's what my loaded helper sheet looks like:
Copy the correct URL into the Design File URL or Upload Name column in your Bulk Update Images workbook.
For example, if you need the image for Hilma af Klint 2 in 12x16, copy the matching URL from the helper sheet.
Then go back to your Bulk Update Images workbook and paste the URL into the correct row.
Step 6: Choose the Right File Size and Fit Settings
If your product sizes have different aspect ratios, you have two options.
Option 1: Use a correctly sized file for each size
This is usually the best option.
For example, if you need to assign artwork for both 16x20 and 12x16, you can use a separate file for each size.
In the Uploads tab, find the correct files, such as:
Hilma-af-Klint-3-16x20.pdf
Hilma-af-Klint-3-12x16.pdf
Then copy each image ID and paste it into the matching row in the Image Assignment tab.
This gives Artelo the correct artwork file for each product size.
Option 2: Reuse the same file and adjust the fit settings
You can also reuse a file with a different aspect ratio. Artelo will fit the image to the canvas based on the Design Fit Style you choose.
This is where the Design Fit Style column becomes important.
For example, let’s say you apply a 12x16 file to an 8x10 or 16x20 product.
If you choose Outside for Design Fit Style, Artelo will fill the canvas and crop the image where needed.
For example, here is what a 12x16 file would look like when applied to a 16x20 product with Outside selected.
As you can see, part of the artwork is cropped at the top and bottom.
If you choose Inside for Design Fit Style, Artelo will keep the full image visible and fill the remaining canvas area with white space.

Step 7: Set the Design Fit Canvas for Matted Products
If the product includes a mat, make sure the Design Fit Canvas column is set correctly. For matted products, switch Design Fit Canvas from Paper to Mat Opening if the artwork should be placed inside the visible mat opening.
Then use a design file that matches the mat opening size, not the full paper size.
For example, if the product has a mat with a 4x6 opening, use the image ID or design file URL for the 4x6 artwork file.
Step 8: Use Show Previews to Check Your Work
If you set the Show Previews column to TRUE, the workbook will display preview images for the assigned files.
This is helpful when you want to confirm that the correct image is assigned to each row before uploading the workbook back into Artelo.
Step 9: Mark the Rows You Want to Update
In the workbook, find the Operation column.
Set the Operation column to Update for each row you want Artelo to process. Rows left blank will not be processed.
Step 10: Download the Completed Workbook
Once your image assignments are complete, download the workbook as an Excel file.
If you are working in Google Sheets, click File, then Download, then choose Microsoft Excel.
Step 11: Upload the Workbook Back Into Artelo
Return to the Bulk Update Images tool in Artelo.
Upload the completed workbook.
Step 12: Review the DPI Check Setting
Before submitting the update, review the Dangerously Skip DPI Check option.
Artelo normally checks whether the image has enough resolution for the selected product size. If the image is below the required DPI, Artelo may stop the file from being used and notify you.
If Dangerously Skip DPI Check is turned on, Artelo may allow lower-resolution files to be assigned anyway.
Only use this option if you understand the print quality risk and intentionally want to continue with those files.
In most cases, we recommend against choosing Dangerously Skip DPI Check so that low-resolution artwork can be flagged before production.
Step 13: Submit the Update
After reviewing the file preview and the DPI setting, click Update Images.
Artelo will process the rows marked as Update and apply the assigned images to the matching product configurations.
Step 12: Validate the Results
After the update is complete, open a few updated product sets in Artelo in your Bulk Updated Images Excel sheet.
Check that:
The correct artwork appears on the correct product configurations
The previews look right
The image fit looks correct
Any mat or canvas settings were applied as expected
You can also spot check a few connected Etsy or Shopify listings to confirm nothing unexpected changed on the marketplace side.
